The ICRC Delegation in Libya has a vacancy for: 
Supply Chain Admin \ Customer Service Desk Officer
The position will be based in the Tripoli Sub Delegation

 

The Customer Service Desk Officer (CSD) ensures that requests are handled efficiently and effectively to meet needs in the field. S/he also provides information about potential or firm orders available to other logistics staff and those requesting services.

 

Main Responsibilities:

 

Customer Service Desk Duties

 

  • Follows up entries and order fulfillment and processes Supply Requests (SRs) for assigned family or group of items.
  • Investigate delayed orders.
  • Handles item creation/propagation requests via Enterprise Resource Planning (ERP) system.
  • Contributes to defining the delegation’s supply network.
  • Manages ERP troubleshooting & reports related ERP problems to the service desk.
  • Closes documents in the system in a timely manner.
  • Follows up with requesters to confirm the reception of the SRs in the system as per the actual delivery date of their orders.
  • Acknowledges reception of orders received via automatic ERP acknowledgment notifications.
  • Makes sure warehouse and purchasing units process the orders allocated to them to avoid delays.
  • Replaces other CSDs in Tripoli or other ICRC sites on a need basis.

 

Purchasing:

 

  • Checks regularly with the purchasers before processing any SRs for non stocked items & for all service orders.
  • Releases the SR into other documents as per the financial rule’s threshold.
  • Matches SRs to Supply Petty (SP) and submitting them to Finance.
  • Briefing new staff, training and coaching them on logistics-related matters.

 

Required background, skills, and experience:

 

  • University Degree or equivalent.
  • Computer proficiency and ability to operate an ERP system is an asset.
  • Fluent in English and Arabic.
  • Experience in logistics.
  • Good knowledge of the supply chain.
  • Ability to work in a team.
  • Capacity to apply ICRC rules and procedures.
  • Service-oriented and flexible.
  • Interest in humanitarian activities (especially ICRC’s).
