Context:
Under the overall supervision of the Chief of Mission and the direct supervision of the Programme Manager IBM in coordination with the Programme Officer IBM , the Sr. Programme Assistant IBM will support the plan, monitor, implementation and follow-up of IBM Programme activities in coordination with relevant government partners as well as relevant units within IOM.
Core Functions / Responsibilities:
- Assist the Programme Manager in the follow up, management and general coordination of all Programme Activities;
- Coordinate the organization of trainings, internships, on-the-job-mentoring, workshops and roundtables as related to the project;
- Draft reports, questionnaires, surveys, profiles, application, feedback and interviewing forms related to the IBM Programme;
- Support the liaison with Governmental counterparts for activities related to the IBM Programme;
- Provide information on the Programme as requested and draft minutes of meetings, reports (external and internal reports) and other written materials/documents related to the Programme deliverables;
- Support the monitoring and evaluation of the implementation of different Programme activities and update the team workplan accordingly;
- Coordinate with other IOM staff members on administration, financial, logistics and operational matters in support of Programme activities;
- Support recruitment process of third party service providers and liaise accordingly with the Procurement Unit of the Mission;
- Supervise field staff and third-party field staff;
- Draft and translate correspondence and other materials from Arabic into English, and vice-versa and assist with interpretation;
- Coordinate with partners the implementation of the capacity building activities for staff, beneficiaries, community structures members and government institutions staff related to the IBM Programme;
- Contribute in the collection of successful stories of the beneficiaries and share with PI unit.

Required Qualifications and Experience
Education
- High School diploma with six years of relevant experience; or,
- Bachelor’s degree in in Social Sciences, Administration, Political Sciences or related field with four years of relevant professional experience.
Experience
- Previous experience working in a position of a similar capacity with international organization;
- Experience in liaising with government and diplomatic authorities;
- Knowledge of Border Management issues and previous experience in working in IBM field is required;
Skills
- Excellent writing and communication and skills in Arabic and English;
- Ability to draft clearly and concisely;
- Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds and respect for diversity and gender equality;
- Ability to work under pressure;
- Teamwork oriented but with a capacity to work independently;
- High level of computer literacy.
Languages
Fluency in English and Arabic is required
