Job Description
As a Finance Assistant at Petecs, an oil services company, you will support the finance team in managing day-to-day financial operations, ensuring accuracy in record-keeping and assisting in budget monitoring. This role demands strong attention to detail, organizational skills, and the ability to handle confidential information within the energy industry context.
Key Responsibilities
- Financial Data Management
- Record financial transactions in the company’s accounting system, ensuring accuracy and consistency.
- Maintain organized records of transactions, account balances, and other financial data.
- Accounts Payable & Receivable
- Process supplier invoices, match them with purchase orders, and manage payments while adhering to Petecs’ supplier agreements, including those with Sixt for car rentals and Bernici Hotels.
- Prepare and send customer invoices, track payments, and follow up on outstanding balances.
- Expense Management
- Review and process employee expense claims, including travel and petty cash expenses for field trips (up to 1,500 LYD), ensuring compliance with Petecs policies.
- Assist in preparing monthly and quarterly expense reports, flagging any variances for review.
- Budget and Reporting Support
- Aid in the preparation of monthly, quarterly, and annual financial reports.
- Assist in monitoring departmental budgets, particularly the accommodation budget of 2,000 LYD, and provide support in variance analysis.
- Support the preparation of year-end reports and documentation for performance-based bonus allocations.
- Auditing & Compliance
- Help prepare documentation for internal and external audits.
- Ensure adherence to financial policies, regulatory standards, and internal controls.
- Maintain the confidentiality of all financial information.
- Administrative Support
- Maintain an organized filing system for financial documents, ensuring easy access and secure storage.
- Support other finance team members with general administrative tasks and ad hoc reporting needs.
Qualifications
- Education: Bachelor’s degree in Finance, Accounting, Business, or a related field.
- Experience: Previous experience as a finance or accounting assistant, preferably within the energy or services industry.
- Skills: Proficiency in accounting software (e.g., QuickBooks, SAP) and MS Excel; strong analytical and organizational skills; attention to detail.
- Attributes: Discretion with confidential data, ability to work in a team, and commitment to accuracy.
