The ICRC Delegation in Libya – seeks to fill the following position:
Welcome Officer
based in Tripoli, Libya
PURPOSE:
The Welcome Officer ensures that Welcome activities are organized smoothly, including pick-up/drop-off of ICRC staff and guests, travel arrangements, visas and permits, official registration and accommodation.
GENERAL DUTIES:
Functional and Responsibilities – 100%
- Ensures that staff and guests are met on arrival and brought to suitable accommodation (hotel, apartment, house).
- Interacts with relevant authorities (ministries, consulates, etc.) regarding certificates, visas, permits, registration, etc.
- Conduct regular random checks to ensure that accommodation is safe and suitable to live in; contact the appropriate department(s) in case of problems.
- Organizes staff travel (plane, train, bus, etc.) by the most cost-effective means and, coordinate drop-off at / pick-up from airports (by commercial flight domestic and International flight), stations, etc in line with travel policy.
- Organizes communication flow between ICRC offices, sub-delegation, delegations, and/or regarding staff travel
- Keeps all appropriate databases up to date on staff members, missions/other travel, document validity, residences, and any other relevant information (schools, airlines, telephone numbers, etc.).
- Organizes Welcome files for new arrivals, phone, room key distribution, food for quarantine when needed.
- Help organize the Welcome side of events/meetings/seminars, coordinating with the parties concerned.
Monthly accounting settlement:
- Keeps record and reconciles invoices with travel agents, hotels, venues, etc.
- Prepares financial lists, statistics, etc. upon request.
- Provides statistics or other reports upon request, ticket purchase per airline etc.
- Help keep updated the table of house attribution to expatriates and various visitors.
- Help keeps records and statistics about ICRC guests in the various residences.
Relationships:
Internally, interacts with ICRC mobile and resident staff.
Externally, interacts with the Ministry of Foreign Affairs/Ministry of the Interior, airport and immigration authorities, travel agencies, airlines, and transport companies.
Minimum required knowledge & experience:
- University degree, preferably in business and/or administration.
- 2 years of work experience in a similar field.
- Strong advocacy skills.
- Computer proficiency.
- Sense of initiative.
- Very good command of written and spoken Arabic and English.
- Capacity to work independently.
- Very good negotiation skills.
- Capacity to apply ICRC rules and procedures.
- Excellent organizational and methodical abilities, sense of initiative.
- Service-oriented with a strong sense of setting priorities and flexibility.
- Interest in humanitarian activities (especially ICRC’s).
