leading UN agency in the field of migration, works closely with governmental,
intergovernmental and non-governmental partners. IOM is dedicated to promoting humane

governments and migrants.

Context:

Under the overall supervision of the Chief of Mission and the direct supervision of the Programme Manager IBM in coordination with the IBM Programme Officer, the  Reporting  Assistant IBM  will assume all reporting responsibilities related to IBM projects as well as research and evaluation tasks related to this domain.

Core Functions / Responsibilities:

  1. Support the IBM Programme Manager in drafting project proposals.
  2. Support the establishment of a reporting system, draft regular reports, updates and briefings on the progress in the implementation and achievements, based on the inputs from other staff.
  3. Draft clear and concise reports, briefings and power-point presentations for various meetings, workshops, conferences and engagements with donors related to IBM programme implemented in Libya.
  4. Draft progress reports for all IBM projects, based on results-based monitoring and evaluation, including information regarding the impact of projects, and ensure timely submission of reports, in coordination with External Relations, PDSU and PIO, as necessary.
  5. Collaborate for the implementation of IOM’s IBM work plans and monitoring and evaluation mechanisms.
  6. Provide support for preparation of project implementation plans, annual work plans and budgets, availing required documentation.
  7. Compile quarterly reports documenting project progress and verify they are consistent with the results framework.
  8. Participate in programme and projects reviews, monitoring and evaluation activities, review of focus areas, methodologies and strategies and draft minutes of meetings.
  9. Assist in liaison work with the government officials, aiming to foster close cooperation and working relationship in the implementation of IBM projects.
  10. Monitor the activity of implementing partners and verify they deliver planned assistance to the beneficiaries within the timeframe and according to work plans, including in relation to financial tracking, information management and reporting.
  11. Assist the IBM Programme Manager in developing project documents, filing systems, recordings, forms and tracking tools.
  12. Provide assistance for the production and dissemination of information and visibility material, including drafting of contents for brochures, web sites, newsletters, leaflets;
  13. Organize events, meetings and trainings with beneficiaries, civil society organizations, NGOs, embassies and all other relevant stakeholders with the aim to promote IBM activities and disseminate its results;
  14. Draft in, or prepare informal translations from English to Arabic and Arabic to English, official correspondence, reports, note to file, statements and handouts;
  15. Perform other such duties as may be assigned.

Required Qualifications and Experience

Education

  • Bachelor degree in social or political sciences, administration and three years of experience in the related field;

Experience

  • Previous experience in an international, humanitarian/development organization and/or in capacity building initiatives is  an advantage;

Skills

  • Excellent writing and communication skills in Arabic and English;
  • Ability to draft clearly and concisely;
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds and respect for diversity and gender equality;
  • Ability to work under pressure;
  • Teamwork oriented but with a capacity to work independently;
  • High level of computer literacy

Languages

Only candidates residing in either the country of the duty station or from a location in a neighbouring country that is within commuting distance of the duty station will be considered. In all cases, a prerequisite for taking up the position is legal residency in the country of the duty station, or in the neighbouring country located within commuting distance, and work permit, as applicable.
