Job Summary:
The Human Resources Assistant (HRA) is responsible for the day to day human resources activities of the field sites and make sure that IMC National Staff Policy & Procedures are being complied with.
Essential Responsibilities:
Tasks include, but are not limited to, the following:
- Prepare and follow up on all the outgoing and incoming letters.
- Prepare and print the ID cards for all the staff.
- Responsible to keep an organized filing system of staff’s personnel records (contracts, timesheets,
etc.) - Ensure that all recruitment documents i.e. FSR, job advertisement, job interview evaluation, etc.
are completed and kept in the file and gathering all the required documents from the new employees.
- Ensure immediate availability of them for quick reference.
- Prepare job vacancy advertisements both externally, and internally. Organize the interview schedule of candidates.
- Follow up staff evaluation which should be done in due time and records are kept in employee’s
respective personnel files.
- Collecting, and sending CVs to the hiring managers, and following up with the shortlists.
- Assisting in scheduling, and contacting candidates for interviews.
- Conducting reference checks for the new employees.
- Following up with all staff regarding their files. As well as, making sure that all new employees have admitted all the required documents, orientations, and online trainings within the first week of their employment.
- Updating, and maintaining archives for all the staff, consultants, and volunteers with hardcopies, and making sure that softcopies are arranged, and uploaded to SharePoint.
- Schedule and follow up the HR bi-monthly meeting and take the minutes of the meeting.
Administrative tasks in day to day activities in the field:
- Perform the weekly uploading of documents related to human resources to the Libya HR files on Office 365, service agreement, timesheets, Payroll etc.
- Providing constant support for the HR department, and IMC colleagues when needed.
- Perform other tasks assigned by immediate supervisor.
Qualifications:
- Degree within human resources management, organizational development, labor relations or a related field of study.
- 1-2 years’ work related experience.
- Able to speak in Arabic as well as English (other languages desirable)
- Good computer skills required.
- Strong organizational skills.
- With ethical, integrity and honest behavior.
