OBJECTIVES OF JOB:
Documents are essential for the success of any business and as such all Corresponding / Reports need to be of good quality, easily retrievable and in usable condition both hardcopy and digital formats.
The Document Control Engineer is responsible for the maintaining of all Operation Management Committee Office related documentation, making information available and reliable as required. He/she is responsible for the structure and organization of documentation, by properly archiving all different reports from various departments and committees into an electronic archive and maintain the filing system in proper shape.
MAIN DUTIES AND RESPONSIBILITIES:
- The Document control engineer is responsible for the structure and the filling of all documentation related to Operation Management Committee Office.
- Ensure documents are of good quality, easily retrievable and in usable condition, both hard and soft copies.
- Assist and support retrieving and searching of documentation.
- He/she maintains and updates a well-controlled and reliable Document Control System and suggest improvements.
- Organize and maintain documents and assist in optimizing the filling and reporting system.
- Keep safe custody of all documents related to Operation Management Committee Office.
- Provide a weekly report on outstanding tasks, and status of ongoing tasks.
- Support all colleagues and auditors on their search for documents.
- All work must be carried out in compliance with company policy, procedures and HSEQ regulations.
- Support the team on preparing outgoing corresponding’s.
- Be a key member of the team in solving any challenges during performing their assigned tasks.
- Schedule appointments, meeting, take minutes of meetings, and assist in preparing of presentations once needed.
- Any other tasks assigned by Operation Management Committee Office Manager.
