The ICRC Delegation in Libya, has a vacancy for:
Water and Habitat Assistant 1
The position will be based in Misrata Sub Delegation
The successful candidate will contribute to the implementing, running and monitoring the Wat Hab program(s), in cooperation with the Wat Hab team, according to the objectives set out in the delegation’s annual planning for a specific geographic area or field of activities.
Main Responsabilites:
- Program tasks. In coordination with the WatHab delegate, plans, organises and participates actively in meetings (external meetings / Internal meetings)
- Accompanies the WatHab delegate to said meetings, interprets, takes minutes of meeting and ensures follow-up.
- Supports the WatHab delegate and team to implement WatHab activities.
- Drafts correspondence.
- In charge of reporting such as (WPA reporting, time reporting, weekly operational report, the Quarterly Report, or other reports based on information received from the Engineers and WatHab delegate.
- Quality control of reports and MoMs provided by the Engineers and supports them in their reporting.
- Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks.
- Assures proper filing of all project documents and Uploads files on TeamSpace according to ICRC standards.
- Translates Agreements, Reports, Specifications, etc upon request
- Answers phone calls, takes messages, and schedules external meetings for the WatHab delegate.
- Coordinates with the other departments in the delegation (Logistics, Finance and Administration, HR) in what concerns Wat Hab work.
- In charge of preparing the WatHab Weekly Movement Plan (WMP)
- Supports the department in the organization of workshops and follows up all related administrative issues (internal and external).
- Quality control of Tender documents and Contracts prepared by Engineers.
- Liaises with contractors for the signature of the contract and to explain contract conditions.
- Prepares payment documents, translates when necessary and guarantees that are signed according to ICRC requirements.
- Updates WatHab Project Assistant (WPA) in regard to financial information (e.g. direct costs).
- Participates to financial activities according to information received from WatHab Delegate and Project Managers (financial forecasting, financial follow-up, AoE).
- Supports field activities of the team as required
Required background, skills and competencies:
- High school level or University degree in relevant field
- 1-2 years’ work experience in a similar function
- Excellent computer skills, including Microsoft Office suite, SharePoint and Outlook.
- Arabic native with good oral and written communication skills in English
- Rigorous and trustful person
- Excellent organizational and methodical abilities, sense of initiative and pro-activeness
- Service-oriented, with a strong sense of priorities and flexibility
- Very good communication skills.
- Very good analytical skills
- Management Skills
- Interest for humanitarian activities (especially ICRC’s).
